Position Overview
The Administrative Assistant II/Fiscal Liaison position within the Office of Broadband serves as an integral component of office functions, helping the office supervisors and other staff with reports, data tracking, financial requirements, calendar management, virtual meeting coordination, and other assistance associated with carrying out $1B+ in broadband infrastructure and digital equity grants, involving cross-sector partnerships and federal, state, and other funding sources. The Illinois Office of Broadband has forged strong cross-sector collaborations with external stakeholders in the public, nonprofit, and philanthropic sectors, leveraging these cooperative professional relationships for work in broadband data, mapping, research, and publication, as well as program delivery, outreach, and engagement. Essential Functions
- Serves as a fiscal liaison between the Office of Broadband and DCEO Finance Division
- Develops plans for the effective utilization of resources for all of the office’s functions, including fiscal management, personnel management, and budget preparation and analysis.
- Coordinates administrative requirements and tasks for the office, at the direction of the Deputy Director.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
- Requires two (2) years professional experience in a public or private organization.
Preferred Qualifications
- Prefer at least five (5) years of experience working in a finance, accounting, or grants management division of a public or private organization.
- Prefer at least five (5) years of experience serving as an administrative assistant or fiscal liaison within a complex bureaucratic environment.
- Prefer at least five (5) years of experience managing budgets and tracking expenses using Microsoft Excel or similar software.
- Prefer at least five (5) years of experience scheduling and administering virtual meetings.
- Prefer intermediate level experience utilizing Microsoft Suite applications (Outlook, Word, Excel, PowerPoint).
Conditions of Employment

- Requires the ability to travel in the performance of duties, with overnight stays as appropriate.
