This position serves as the Fleet Coordinator for the Department of Innovation and Technology (DoIT) responsible for organizing, planning, executing, monitoring, and evaluating the agency’s statewide vehicle fleet operations. In this role you will serve as the Fleet Management System (FMS) Administrator responsible for overseeing the scheduling, coordination, and regulatory compliance of agency vehicle operations within the FMS platform and serve as DoIT Vehicle Purchasing Officer responsible for coordinating procurement, registration, licensing, and lifecycle management of the agency’s vehicle fleet. In addition, you will manage and oversee all aspects of fleet maintenance and repair and serve as a process approver and point of contact for all agency fleet accident. Essential Functions
- Under direction, serves as the Fleet Coordinator for the Department of Innovation and Technology (DoIT), responsible for organizing, planning, executing, monitoring, and evaluating the agency’s statewide vehicle fleet operations.
- Serves as the Fleet Management System (FMS) Administrator responsible for overseeing the scheduling, coordination, and regulatory compliance of agency vehicle operations within the FMS platform.
- Administers and monitors all fleet-related expenditures tracking and managing expenses associated with fleet operations including fuel, maintenance, insurance, and claims.
- Manages and oversees all aspects of fleet maintenance and repair coordinating with the Department of Central Management Services (CMS) garages and authorized vendors to schedule and track both routine and unscheduled vehicle maintenance and repairs.
- Serves as DoIT Vehicle Purchasing Officer responsible for coordinating procurement, registration, licensing, and lifecycle management of the agency’s vehicle fleet.
- Serves as a process approver and point of contact for all agency fleet accidents verifying proper completion and submission of the CMS Auto Liability Form to adhere to required timelines.
- Serves as the primary point of contact for all driver-related communication, training, and issue resolution overseeing driver engagement and compliance with fleet management policies and regulations.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of four years of college preferably with coursework in business or public administration.
- Requires one (1) year of responsible administrative experience in a public or business organization.
Specialized Skills
- Requires one (1) year of professional experience coordinating daily fleet operations, including scheduling, utilization, and logistics, within a large-scale organization or business.
- Requires one (1) year of professional experience maintaining accurate vehicle inventories, service records, and related fleet data management systems.
- Requires one (1) year of professional experience managing vehicle registration, titling, insurance, and licensing in compliance with local, state, and federal regulatory requirements.
Preferred Qualifications
- One (1) year of professional experience coordinating daily fleet operations, including scheduling, utilization, and logistics, within a large-scale organization or business.
- One (1) year of professional experience maintaining accurate vehicle inventories, service records, and related fleet data management systems.
- One (1) year of professional experience managing vehicle registration, titling, insurance, and licensing in compliance with local, state, and federal regulatory requirements.
- Working knowledge of Federal Motor Carrier Safety Administration (FMCSA) regulations to fleet operations, including employer, driver, and vehicle compliance.
- One (1) year of professional experience participating in internal or external audits including developing and implementation of corrective action plans and ongoing compliance monitoring.
- Working knowledge of agency procurement as it relates to purchasing fleet vehicles.
- Ability to analyze administrative and operational challenges and implement effective, solution-oriented responses.
- Ability to develop and maintain cooperative working relationships with diverse teams and stakeholders.
- Demonstrated verbal and written communication skills to effectively convey complex information and build consensus.

• Requires adherence to the revolving door restrictions outlined in 5 ILCS 430/5-45. Consequently, employees should be aware that in the event of receiving a non-State employment offer during state employment or within one year immediately following the termination of State employment, they are required to inform the Office of the Executive Inspector General (OEIG) for the Agencies of the Illinois Governor before accepting such non-State employment. Failure to notify the OEIG may result in the imposition of a fine.
• Requires compliance with the provisions outlined in section 4A-101 of the Illinois Governmental Ethics Act, necessitating the occupant of this position to file of a Statement of Economic Interest. Pursuant to the Illinois Governmental Ethics Act (5 ILCS 420/4A et seq.), specific state officials and employees are required to annually submit Statements of Economic Interest to the Office of the Secretary of State, which will be accessible to the public for examination and copying. Employees subject to this requirement must also file a Supplemental Statement of Economic Interest with the Executive Ethics Commission, as specified in Executive Order 15-09. Failure to submit these statements in a timely manner may result in fines and penalties.
