Job Responsibilities
Under direction of the Human Resources Manager, performs specialized clerical duties relating to the administration of the Human Resources Office, including a variety of Human Resources (HR) areas such as transactions, classification, benefits and filling of positions and interview selection criteria and questions. Applies human resources policies and procedures and provides information and serves as a resource to staff in effectuating projects.
(20%) 1. Types and prepares vacancy postings for department vacancies. Enters vacancy postings on CMS posting system as well as internal posting locations. Distributes copies of postings to union representatives, collects applications and reviews applications for completeness and makes notations of incomplete information submitted by applicant on posting record.
(15%) 2. Provides assistance to the general public and employees regarding Human Resources general information; opens and routes mail; answers main office phone line and directs calls; prepares general correspondence for the Human Resources Manager; provides assistance to office managers for scheduling meetings and travel arrangements.
(15%) 3. Provides assistance to transaction specialist in documenting all required information for transaction submission; copies required forms/documents; establishes and updates all primary personnel files for agency staff, maintains various personnel documents. Obtains copies of material as requested by employees from their personnel files.
(15%) 4. Updates staff changes to agency organizational chart; types and prepares position description clarifications, work county changes, A/I changes that are of a routine nature as requested by HR staff; provides assistance in maintaining paper and electronic position files.
(15%) 5. Provides assistance to benefits coordinator and gathers information for special projects requiring assistance for benefits coordinator.
(15%) 6. Assists in the review of interview and selection criteria for HR staff; assembles and prepares interview material packets for interviewing officer for use in conducting interviews. Conducts additional internal review of interview material for compliance with established criteria and brings inconsistencies to the attention of human resources staff for correction.
(5%) 7. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Knowledge, Skills, and Abilities
- Requires ability to type accurately at 30 wpm.
Education Degree
- Requires knowledge, skill and mental development equivalent to completion of high school and two years of related clerical experience, or related experience with a minimum of 1 year supporting a Human Resources office in one or a combination of, the process of hiring; creating and adjusting job descriptions; processing personnel actions; and employee benefits actions.
