Essential Functions
- Receives calls, emails, faxes and postal mail from the public, department employees, other state agencies, nonstate governmental agencies, veterans, family members, and funeral homes needing copies of discharge records and documents.
- Prepares, scans and updates information from discharge documents and veterans files from into the Departments master data base of veterans.
- Scans and enters alphanumeric data from the agencies historical paper files on veterans into the master data base to ensure all information is accurately entered and captured electronically.
- Types data from files involving deceased veterans of the State of Illinois.
- Assists in the coverage of the Central Office reception desk in the absence of the Office Associate.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of high school and two (2) years of office experience.
- Requires the ability to keyboard accurately at 30 wpm.
Preferred Qualifications
- Prefers one (1) year of extensive knowledge of office practices, procedures, and programs.
- Prefers one (1) year of extensive knowledge of composition, grammar, spelling and punctuation.
- Prefers one (1) year of experience utilizing of the Microsoft Office Suite, including, Word, Outlook, Excel.
- Prefers one (1) year of elementary knowledge of agency programs, rules and regulations.
- Prefers one (1) year of experience following oral or written instructions.
- Prefers one (1) year of experience operating commonly used manual and automated office equipment and perform routine maintenance.
- Prefers extensive knowledge of alphanumeric filing.
Conditions of Employment
- Requires ability to pass a background check.
- Requires use of agency-supplied equipment (mobile phone, laptop, etc.).
- Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other industry related topics relevant to the job duties.
- Requires ability to travel in the performance of duties, with overnight stays as appropriate.
- Overtime is a condition or employment, and you may be required to work overtime including scheduled, unscheduled, or last-minute overtime.
