Essential Functions
- Under general direction of the Operations and Programs Division Manager, receives and adjudicates claims and processes forms related to veterans concerning eligibility or recognition from their military service.
- Assists Secretary of State to provide benefits associated to specific veteran eligibilities for military related license plates.
- Receives and processes the Certificates of Burial of War Veterans forms that are mailed to Central Office. Ensures that all required fields for the Roll of Honor are input into the proper location in the System of Record (CyberVet) and scanned into images. Advises entities that are required to complete the Certificate of Burial of War Veteran in completing and processing the form correctly.
- Assists the Governor's Office with letters advising of benefits and sources. Generates and prepares Welcome Home Letters from the Office of the Governor for discharging service members
returning to Illinois on their benefits and where they can seek them. - Types routine correspondence, researches and responds to inquiries applying general knowledge of the department operations governed by regulations, rules, policies, and procedures.
- Receives and routes incoming calls within the Department or Field and responds to inquiries from Department and other government agencies, general public and veterans and their families. Relieves receptionist for breaks, lunches and on benefit days off.
- Performs other duties as required or assigned which are reasonably within the realm of the duties enumerated above.
Minimum Qualifictions
- Requires knowledge, skill and mental development equivalent to two (2) years of secretarial/business college and one (1)year of office experience, or completion of high school and three (3) years of office experience, or three (3) years of independent business experience.
- Requires ability to keyboard accurately at 30 wpm.
- Qualifying state employees, in the employee Upward Mobility Program, may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
Preferred Qualifications
- One (1) year of experience in office practices and procedures.
- One (1) year of experience using Microsoft Office software and computer programs.
- One (1) year of experience in office correspondence and documentation, specifically, using office appropriate grammar, spelling, and punctuation.
- One (1) year of experience using manual and automated office equipment.
- One (1) year of experience instructing, guiding, and training others.
- One (1) year of experience establishing and developing written instructions and procedures.
Conditions of Employment
- Requires ability to pass a background check.
- Requires ability to travel in the performance of duties, with overnight stays as appropriate.
- Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other
industry related topics relevant to the job duties. - Requires use of agency-supplied equipment (mobile phone, laptop, etc.).
- Overtime is a condition of employment, and you may be requested or required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime.
