Essential Functions
- Under direction, independently performs duties as the Agency Property Control Coordinator, controls, evaluates, and maintains the Department of Veteran Affairs Property Control System.
- Completes all General Accepted Accounting Principles (GAAP) for the State of Illinois Office of the Comptroller reporting on the property for the Illinois Department of Public Health.
- Organizes, executes and controls the Agency’s annual physical inventory for all office equipment, furniture, computers, cell phones and other telecommunication equipment, information technology equipment and other property items.
- Receives and analyzes Central Management Services bulletins, letters and directives from other state agencies and federal government.
- Serves as Agency Lease Coordinator.
- Serves as Records Retention Coordinator for Agency.
- Performs other duties as required or assigned which are reasonably within the scope of the duties.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferably with coursework in business, public administration or accounting.
- Requires one (1) year of responsible administrative experience in a public or business organization, or completion of an agency approved professional management training program.
Preferred Qualifications
- One (1) year experience with conducting physical inventory and reporting findings.
- One (1) year experience performing inventory transactions using a software program.
- One (1) year experience revising and implementing Property Control policies and procedures.
- One (1) year experience issuing all property control tags to be attached to equipment purchased.
- One (1) year experience completing asset and acquisition reports.
- One (1) year experience developing training materials and conducting training.
Specialized Skills
- Of the one year of administrative experience, requires one (1) year experience with conducting physical inventory and reporting findings, and one (1) year experience performing inventory transactions using a software program.
Conditions of Employment
- Requires ability to pass a background check.
- Requires use of agency-supplied equipment (mobile phone, laptop, etc.).
- Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other industry related topics relevant to the job duties.
- Requires ability to travel in the performance of duties, with overnight stays as appropriate.
- Requires appropriate, valid driver's license.
