Position Overview

 

This position is accountable for assisting with the development of Information Technology (IT) related policies, preparing governance documentation, project documentation, various project compliance, budget, and audit reports.  This position assists with the development and implementation of employee training on compliance policies and practices.  This position also provides administrative support for the Bureau of Information Processing (BIP) by reconciling timekeeping documents, assisting with scheduling, and administrative reporting.

Essential Functions

  • Assists in coordinating project management activities.
  • Serves as support to project teams, coordinates equipment, and provides project documentation.
  • Evaluates and assesses project workbooks against agency policies and procedures.
  • Reviews project artifacts such as Risks, Assumptions, Issues and Dependencies (RAID) logs, stakeholder analysis, and other relevant documents.
  • Works on projects providing analysis as well as documenting and analyzing success metrics and key indicators.
  • Develops process workflows as it relates to assigned projects and/or to support internal process improvement initiatives.
  • Communicates project status to stakeholders, monitors project progress, and assists with any issues that arise.
  • Collaborates and contributes to the development of project training materials, communication plans, and operational guides for production support.
  • Assists in coordination and communication with other business areas regarding periodic review of project workbooks.
  • Supports program/project managers in coordinating change control process of assigned work.
  • Performs various administrative support functions such as timekeeping, scheduling, compiling budget and project audit reports.
  • Assists in managing team calendars (meetings, project due dates, and staff assignments); coordinating meetings (scheduling, compilation and distribution of materials, audio visual aids, travel); maintains accurate and up-to-date supplies; assists with timekeeping activities; monitoring and reporting training and travel requests for staff.
  • Performs all duties in compliance with departmental safety rules.  Performs all duties in a manner conducive to the fair and equitable treatment of all employees.
  • Performs other duties as required or assigned.

Minimum Qualifications

  • Completion of a bachelor’s degree majoring in Business or Information Technology OR Completion of two years of college plus two years of experience working as a Project Coordinator or similar project or administrative support role OR Six years of experience working as a Project Coordinator or similar project or administrative support role
     

Preferred Qualifications

•    Proficient in Microsoft Office Suite applications (Word, Excel, Project, PowerPoint, Visio)
•    Ability to prepare and interpret flowcharts.
•    Excellent verbal, written and listening communication skills.
•    Excellent organizational skills and the ability to prioritize workload.
•    Familiarity with risk management and quality assurance control.
•    Ability to turn data into information that can be used to create actionable work plans.
•    Ability to apply critical thinking and provide creative solutions to improve processes.
•    Comfortable working in a fast-paced, multi-task-oriented team environment.
•    Hands-on experience with project management tools.
•    Ability to work with minimal supervision.
