Position Overview
This position is accountable for coordinating information technology (IT) projects and administrative support functions as directed by the Chief Information Officer (CIO)/Bureau Chief. All projects managed by the incumbent follow the Project Management Institute (PMI) or Agile methodology and remain within the scope, schedule and budget allocated for a project. Using the PMI and Agile methods, the incumbent ensures the development is in compliance with state governance policies and project resources remain on task to achieve the desired outcomes.
Essential Functions
- Provides administrative support functions as directed by the bureau chief. These tasks include developing reports, presentation materials, coordinating meetings and speaking engagements. Frequently represents executive management on high-profile projects.
- Ensures the development and implementation of project management standards using the Project Management Institute (PMI) and Agile methodologies on information technology (IT) projects.
- Performs day-to-day management of administrative and project-related tasks and activities including resource coordination, reporting, status tracking, risk management and communication of project progress and issues.
- Provides the Chief Information Officer (CIO)/bureau chief with pertinent and timely governance documentation for charter development.
- Ensures adequate sponsor and stakeholder representation and training in the development of project requirements and throughout the project progress.
- Provides evaluation and oversight of IT policies, departmental orders, job descriptions, project development team resources and report’s findings to the CIO and functional managers.
- Performs duties in compliance with departmental safety rules. Performs all duties in a manner conducive to the fair and equitable treatment of all employees.
- Performs other duties as assigned.
Minimum Qualifications
- Completion of a bachelor's degree majoring in business or information technology PLUS two years of experience managing projects, working with upper-level management staff, and utilizing Microsoft Office 365 applications to coordinate support functions or a combination thereof OR eight years of experience managing projects, working with upper-level management staff, and utilizing Microsoft Office 365 applications to coordinate support functions or a combination thereof.
Preferred Qualifications
- Proficient in Microsoft Office Suite applications (Word, Excel, Project, PowerPoint, Visio).
- Experience with PMI and/or Agile project management methodologies.
- Experience and general understanding with web development technologies and business process re-engineering.
- Proficient with SharePoint and Visio applications.
- Excellent verbal, written and listening communication skills.
- Excellent organizational skills and the ability to prioritize workload.
- Ability to apply critical thinking and provide creative solutions to improve processes.
- Ability to handle sensitive information and maintain confidentiality.
