Position Overview

As an Executive Secretary, you will be part of our Labor Relations team in a fast-paced environment at one of the largest state agencies in Illinois. Every day brings a new unique labor relations challenge, and you will find your passion for labor relations work exceedingly met when you work with our highly skilled Department of Corrections management team and the inter-agency of Illinois labor professionals. Essential Functions

  • Serves as an administrative secretary for the Chief of Labor Relations.
  • Maintains automated system on all employee grievances, confidentiality and the dissemination of information on grievance matters within and outside the Agency.
  • Composes, keyboards, edits and files various types of correspondence.
  • Serves as a liaison for the Labor Relations Office.
  • Serves as a travel coordinator for the Labor Relations Office.
  • Serves as timekeeper for the Labor Relations Office.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of two (2) years of secretarial or business college and two (2) years of secretarial experience; or completion of high school and four (4) years of secretarial experience.
  • Requires ability to type accurately at 55 wpm.

Preferred Qualifications

  • Prefers at least two (2) years of experience utilizing manual and automated office equipment.
  • Prefers at least (2) years of experience figuring arithmetic computations.
  • Prefers at least two (2) years of experience writing memos or other documents and ensuring proper grammar, spelling and punctuation.
  • Prefers at least two (2) years of experience utilizing Microsoft Office, such as Word, Outlook, and Excel, or similar software.
  • Prefers at least one (1) year of experience providing verbal and written correspondence.
  • Prefers at least two (2) years of experience in an office setting multi-tasking, analyzing, and meeting deadlines.
  • Prefers at least one (1) year of experience working independently in an office setting for multiple people.
  • Prefers at least (2) years of experience in an office setting working with and maintaining confidential and personal information.

Conditions of Employment

  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of the position held is prohibited.
  • Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
