Under direction, plans, assigns, supervises and reviews work of clerical staff in the Records Management Section of the Administrative Services Division engaged in performing a variety of technical office support functions relating to records identification, preparation and retention or destruction of agency records. Serves as unit liaison to other Divisions within the agency, with other agencies and\or vendors. Determines the proper handling of records sent to the unit under applicable statutes, rules, and retention policies. Reviews and corrects electronic indexes for upload to agency databases. Creates required correspondence and completes required forms for the destruction and transfer of agency records for the State Record Center and State Archives. Responds to agency inquiries for records. Updates unit records. Trains and reviews work of lower level unit staff.

Job Responsibilities

Supervises and directs clerical personnel in performing a variety of complex, specialized clerical or paraprofessional/technical secretarial and office support activities. Supervises the maintenance of Department inventory for items stored in Records Services and all off-site locations and provides inventory information as required. Directs the work of Office Clerks and Assistants engaged in keyboarding a variety of difficult material, providing nontechnical information and assistance to clients, representatives of other agencies and the general public or other work similar in difficulty. Reviews and projects unit workload. Participates in supervisory staff meetings. Provides back-up for manager. Serves as working supervisor of subordinate clerical staff.

 

Knowledge, Skills, and Abilities

  • Requires ability to direct and supervise the work of a nonprofessional office staff.
  • Requires working knowledge of the agency's program policies and operations.
  • Requires working knowledge of office procedures and programs.
  • Requires working knowledge of elementary mathematics and grammar
  • Requires ability to operate manual and automated office equipment and perform routine maintenance.
  • Requires working knowledge of the logic of computer programs/language
  • Requires ability to follow oral or written instructions.

 

Physical Requirements

  • Requires the ability to move boxes weighing a maximum of 60 pounds on a regular basis

Education Degree

  • Requires knowledge, skill and mental development equivalent to completion of two years of study at a secretarial/business college and one year of office experience; or completion of high school and three years of Office Assistant experience; or three years independent business experience.
