Position Overview

The Illinois Prisoner Review Board is seeking to hire a motivated, self-starting Office Administrator III for the Operations Unit. The Office Administrator III works closely with the supervisor to ensure that all transactions are accounted for, and hearings are prepared and scheduled accordingly. We invite those interested in public safety to apply.

Essential Functions

  • Reviews dockets of assigned prison for preparation of scheduled board hearings.
  • Upon request of the Chairman, Board Members or Executive Staff, researches and disseminates information relative to court decisions in criminal charges pending or executed upon an inmate.
  • Gathers statistical information - from board orders, parole orders, juvenile orders, amended orders and parole agent requests each day and/or week and prepares minutes sheet entries to be retained and a copy sent to the Department of Corrections.
  • Prepares monthly reports by collecting statistics from minutes sheets prepared on a daily and/or weekly basis as required by statutes and agency policies and procedures.
  • Responds to telephone and written inquiries from victims of violent crimes, state's attorneys, circuit clerks and others with regards to cases, statutes, Victim's Bill of Rights, and other matters of concern to the agency and its operations.
  • Prepares and keyboards letters or emails to respond to inquiries and retains a copy of the responses in the appropriate inmate file.
  • Serves as a working supervisor.
  • Travels to participate in meetings with the records supervisor concerning policies and procedures, assignments and scheduling, appointments, supplies and equipment needs and related operational matters.
  • Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

1. Requires knowledge, skills and mental development equivalent to completion of two years study at a secretarial/business college and one year of office experience; or completion of high school and three years of Office Assistant experience; or three years independent business experience.

2. Ability to keyboard 30 wpm accurately.

Preferred Qualifications

  • Preferred working knowledge of the agency's program operations and policies.
  • Preferred working knowledge of office procedures and programs.
  • Preferred working knowledge of elementary mathematics and grammar.
  • Preferred ability to operate manual and automated office equipment.
  • Preferred ability to direct and supervise the work of a nonprofessional office staff.

Conditions of Employment

1. Ability to successfully pass Department of Corrections, Illinois State Police and county jail background checks as necessary to enter required correctional facilities throughout Illinois.

2. Ability to travel statewide to Illinois Department of Corrections facilities which could include overnight stays.

3. Requires possession of a current valid appropriate driver's license.

About the Agency

The Illinois Prisoner Review Board's mission is to function under statutory authority as a quasi-judicial body with a primary focus on public safety. It further acts as a checks and balances on other state and local institutions. The Board imposes release conditions for incarcerated individuals who are exiting penal facilities, revokes and restores good conduct credits from inmates and conducts hearings to determine whether parolees have violated conditions of parole. The Board also notifies victims and their families when an inmate is about to be released from custody.
