Position Overview
Under general supervision, serves as a Department receptionist at the main entrance of the IDNR building. Greets visitors and staff; answers multi-line telephones and routes calls to the appropriate personnel; answers non-technical questions and explains procedures. Schedules conference rooms for use.
Job Responsibilities
1. Serves as a department receptionist for all incoming and interoffice telephone calls. Answers non-technical questions and explains procedures. Records and relays messages to appropriate personnel; provides telephone coverage for the Director's office during brief absences. Trains back-up receptionist on duties and responsibilities at the reception desk.
2. Receives visitors and directs them to sign in/out and issues visitor badges; announces arrival I of visitor to staff for retrieval or directs to appropriate office.
3. Schedules nine conference rooms for staff and outside group use. Contact Facility Manager's office to ensure required equipment for meeting will be available in assigned conference room. Sends e-mail notification to staff before meeting as a reminder of scheduled meeting.
4. Reviews security camera for building periodically throughout the day; reports suspicious activity or systems errors to Facility Manager, Law Enforcement and Director's office.
5. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Requirements
- Requires knowledge, skill and mental development equivalent to completion of high school and one year of related office experience.
Knowledge, Skills, and Abilities
- Requires working knowledge of office practices, procedures and programs.
- Requires ability to follow oral and/or written instructions.
