Essential Functions
· As a receptionist for the Springfield office answers telephone inquiries and assists walk-ins such as taxpayers, lawyers, state and local officials, and intervenors.
· Assists with questions concerning appeal status, how to obtain forms the appeals process, types of evidence needed and appeal time limits.
· Transfers calls and directs walk-ins to appropriate staff. Signs for mail deliveries opens and date stamps incoming mail.
· Serves as back up scanner.
· Performs various other difficult and responsible clerical duties for the Division.
· Processes information from manual and automated records to generate forms, print mailing labels, and update the mail log as assigned.
· Processes requests for information under the Freedom of Information Act by duplicating and sending file information to the requesting party.
· Prepares out -going mail, maintains postage records and receipts.
· Reviews new appeals for sufficient evidence and timely filings.
· As a back-up to equivalent level Mail/File Control staff, processes incoming mail in accordance with procedures.
· Categorizes incoming mail by type.
· Retrieves and distributes files to appropriate staff.
· Receives processed files and re -files to maintain files and mail room in keeping with processed status.
· Performs other duties as required or assigned which are reasonably within the scope of those enumerated above.
Minimum Qualifications
Requires knowledge, skill, and mental development equivalent to completion of high school and one year of related office experience.
Preferred Qualifications
Prefers working knowledge of office practices procedures and programs.
Prefers ability to operate commonly used manual and automated office equipment and perform routine maintenance of same.
