Position Statement

The Office of Mines & Minerals/Division of Land Reclamation is seeking an Office Associate, Opt. 2, who will, under general direction, perform difficult and complex typing work; maintain division records and files; enter permit data via access to the Applicant Violator System maintained by the federal Office of Surface Mining.  

Job Responsibilities

  1. Performs difficult and complex typing work from handwritten drafts of correspondence and specialized decision findings and statistical documents which require knowledge and understanding of language and scientific terminology to ensure clarity and accuracy; finalizes mailing, correspondence, forms, finding documents which are the department's determination of approval or denial of permit actions, certificates and reports; proofreads work for clarity and accuracy of typing, spelling and proper use of biological terminology.
  2. Maintains coal permit database; enters and retrieves data regarding permit issuance, permit acreage, affected acreage, bond amounts and bonds released.
  3. Maintains and files materials in the LRD coal application/permit filing system.
  4. Accesses the Applicant Violator System (AVS) maintained by the Federal Office of Surface Mining Reclamation and Enforcement (OSMRE) to enter, correct and maintain data on each entity listed as a permittee or operator in permit applications; maintains hard copy files which document compliance with AVS requirements for data input and queries.
  5. Maintains LRD records and files for certified mail and for UPS; processes daily outgoing mail for the office; transports certified mail to post office; transports documents and reports to the Comptroller's office.
  6. Serves as backup receptionist; answers incoming calls and directs to appropriate staff.
  7. Enters data for the Federal program database.
  8. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  1. Requires knowledge, skill and mental development equivalent to completion of high school and two years of office experience.
  2. Requires skill in keyboarding accurately at 45 wpm.

Knowledge, Skills, and Abilities

  1. Extensive knowledge of office practices, procedures, spelling and punctuation.

Charged with preserving, protecting, and promoting Illinois’ natural resources, the Illinois Department of Natural Resources (IDNR) employees oversee water, wildlife, wetlands and oil wells, parks, historic sites – and everything in between.
