Position Overview
As an Office Associate for the Division of Justice Services; receives and reviews responses of confidential criminal history from both state and federal criminal justice systems to perform a quality control review of the applicants name, address and personal identifiers for the verification of a FOID/CCL applicants identiy; through a computerized system, reaches out to the applicant for additional necessary information in order to complete the application if applicable, rejects the application for missing and/or incomplete information or approves the application for the next phase of processing; records rejection reasons by typing a descriptive note into the Bureau computer system; Quality checks paper applications and any documents received and uploads documents to the centralized computer system for further processing.

Essential Functions
- Utilizing Bureau systems, reviews submitted FOID/CCL applications for completeness.
- Receives, prepares, and reviews mail for FOID/CCL.
- Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of high school and two years office experience.
- Requires ability to type accurately at 45 wpm.
Preferred Qualifications
- Prefers extensive knowledge of office practices, procedures, and programs.
- Prefers one (1) year experience using discretion when working with sensitive or personal data such as social security numbers.
- Prefers one (1) year experience utilizing automated office equipment and technologies to perform work assignments such data entry and uploading and downloading confidential files to application programs.
- Prefers one (1) year experience following oral and/or written instructions.
- Prefers one (1) year experience operating commonly used manual and automated office equipment and perform routine maintenance.
