Job Overview

The Illinois Environmental Protection Agency (EPA), Division of Administration, Mailroom is seeking an Office Associate, Option 1. This position serves as the agency mailperson responsible for performing mail and messenger duties, including sorting, weighing and distributing all USPS, FedEx, UPS mail. Operates and maintains a Pitney Bowes metered mail machine, electronic meter and scales in applying correct postage.  Basic math skills are necessary for postage adjustments.   Provides security messenger service, so a valid driver’s license is required. Delivers copy paper, Xerox supplies, envelopes and other supplies as requested by Agency staff in Regional Offices, Labs and Headquarters. Operates and maintains for good repairs, various mailroom equipment including an assigned mailroom vehicle, postage meters, weighing scales, pallet movers.  The ideal candidate for this position will be organized, detailed, self-motivated and possess the ability to adapt to change in a collaborative, fast paced environment. The ideal candidate will also need to be able to communicate effectively, especially written communication as emails are a daily function of the mailroom.  Basic typing and computer skills are necessary. The ideal candidate needs to be able to lift up to 70 lbs. The ideal candidate will need to attend work daily in person as this position is important for the necessary daily functions of the agency.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of high school and two years of office
    experience.

Preferred Qualifications (In Order of Significance)

  • Prefers working knowledge of mailroom practices, procedures and programs.
  • Prefers the ability to operate commonly used manual and automated mail equipment and perform routine maintenance.
  • Prefers working knowledge of basic mathematics.
  • Prefers the ability to utilize a personal computer with knowledge of Outlook & Google (basic computer navigation).
  • Prefers working knowledge of composition, grammar, spelling and punctuation.
  • Prefers the ability to follow oral or written instructions; refers to the mailroom notes as reference guides.
  • Prefers elementary knowledge of agency programs, rules and regulations (people finder).
