Position Overview
The Illinois Department of Insurance is seeking to hire an Office Associate that performs complex, specialized records processing for the Department; performs maintenance, storage and retrieval of all insurance policy forms and related records filed by the Department in accordance with mandated storage requirements and policies and the structure of the storage system; utilizes advanced technical knowledge of programmable equipment to record and assign locations to various policy forms and related materials; types forms and spreadsheets; serves as a resource person for insurance company representatives, professional and technical Department staff and other outside individuals regarding applicable rules, processes and procedures and accessing available services of the Unit; trouble-shoots telephone repair requests; types on-line forms; assists with telecom billing process; serves as a liaison with other Units of the Department in coordinating activities and serving on committees and working groups. Essential Functions
• Assists Agency staff by providing various records services.
• Serves as liaison between Agency staff and Department of Innovation and Technology (DoIT)Telecommunications staff to provide basic telecommunication services.
• Provides interpretation of Department of Insurance (DOI) Records Retention Policy to internal and external customers.
• Serves as Unit liaison with various areas of the Department in developing and implementing programs and policies related to DOI record storage and retrieval.
• Interacts directly with vendors in reviewing and evaluating new equipment upgrades for the Unit and to resolve problems with equipment
• Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.
Minimum Qualifications
• Requires knowledge, skill, and mental development equivalent to completion of high school.
• Requires two years of office experience.
• Requires skill in keyboarding accurately at 45 wpm.
Preferred Qualifications
• Prefers extensive knowledge of office practices, procedures, and programs.
• Prefers extensive knowledge of composition, grammar, spelling and punctuation.
• Prefers elementary knowledge of agency programs, rules, and regulations.
• Prefers ability to follow oral or written instructions.
• Prefers ability to operate commonly used manual and automated office equipment and perform routine maintenance.
• Prefers extensive knowledge of the Record Retention Policy.
