Job Responsibilities

 

Under direction, performs a variety of complex, specialized clerical information and assistance, typing record processing, secretarial and general office support functions and assignments including correspondence, numerical data entry, filing, reports, charts and technical material.

 

  1. Types a variety of material for various areas of the Emergency Medical Services Program, including letters, memoranda, reports, grants, reimbursement claims, certificates, records, and contracts requiring an understanding of technical, medical and business terminology and independent judgment; completes data entry and database update and maintenance assignments.

 

  1. Serves as receptionist for central office Emergency Medical Services staff, receiving and directing visitors; receives phone calls and answers non-technical questions on procedures, rules and regulations. Opens and distributes mail.

 

  1. Prepares requisitions, clerical records, standard forms, reports, vouchers, and printing requests.  Reviews and prepares staff travel vouchers and travel requests.  Prepares mass mailings of EMS materials; assembles, organizes and distributes mailings. 

 

  1. Maintains control of office supplies; orders supplies, arranges storage cabinets; ensures adequate storage without overflow; files EMS related materials; provides support for test registration as needed.

 

  1. Serves as back up to the Division Administrative Assistant in their absence, provides routine information and responses to EMS related inquiries received via phone, e-mail, visitors and guests.

 

  1. Participates in education, training and response activities such as staffing the Public Health Emergency Operations Center (PHEOC); State Emergency Operations Center (SEOC); Joint Operations Center (JOC); Receipt, Stage and Storage (RSS); Regional Distribution Center (RDC) and the Unified Area of Command (UAC).

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of high school and two years of office experience.
  • Requires ability to type accurately at a 45 WPM rate. 
  • Requires the ability to exercise initiative and judgment.
  • Requires the ability to follow written and oral instructions.
  • Requires excellent organizational skills.
  • Requires extensive knowledge of grammar, spelling and punctuation.
  • Requires extensive knowledge of office practices, general clerical skills and general knowledge of Word, Excel and Access. 
  • Requires the ability to make and foster cooperative working relationships.

Work Hours:  8:30 - 5 Mon - Fri.
