Job Responsibilities

Under direction, performs a variety of complex specialized clerical information and assistance duties requiring the application of agency policies and procedures and exercising independent judgment and action.  Receives and handles telephone inquiries from physicians, private laboratories and other medical personnel concerning availability of specimen analysis.  Maintains filing system assuring prompt retrieval for reference purposes.  Maintains daily attendance and employee benefits time.  Types a variety of correspondence and other information.  Operates personal computer, typewriter and copy machine.

 

  1. Provides clerical support for the Data Management Section and other professional administrative staff of the Division of Laboratories Springfield Lab. Types a variety of correspondence and other information concerning specimen analysis using the application of agency policies and procedures.  Responsible for proofreading and ensuring the accuracy of laboratory/medical terminology in regards to all correspondence pertaining to specimen analysis; ensures efficiency in the operation of general office support functions.

 

  1. Mails and/or faxes laboratory analysis results to local health departments and/or submitting agencies and vendors; prepares accession sheets for specimens received; enters demographic information into computer database.

 

  1. Receives and handles incoming telephone inquiries from physicians, private laboratories, local health departments and other medical personnel concerning availability of specimen analysis and specimen results; directs call to appropriate persons; takes messages.

 

  1. Maintains filing system assuring prompt retrieval of information for reference purposes.  Maintains daily attendance of employee time and acts as liaison to IDPH Personnel in regards to the employee time records. 

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of high school and two years of office experience
  • Requires knowledge of office practices, operation of commonly used manual and automated office equipment; also elementary knowledge of agency programs. 
  • Ability to utilize various PC applications to access, enters data, analyze and produce reports.
  • Requires ability to type accurately at a minimum of 45 WPM.
