Job Responsibilities

Under direction of the Southern Region Manager in the Division of Fire Prevention, performs a variety of complex and specialized clerical duties using the computer and current inspection software, including the Mobile Eyes Inspection system.  Schedules incoming Inspection requests for the Fire Prevention Division, serving as a liaison with state agencies to receive inspection requests and schedule with appropriate Fire Prevention Inspector. Tracks and  processes Aboveground storage Tank applications. Serves as the Fire Prevention Division receptionist.

 

40%     Provides clerical services and  support for  the  Fire  Prevention  Division  Manager and Regional  Manager.  Keyboards a variety of oorrespondencememoranda, reports, legal  documents, charts, rules and regulations, material, graphs and miscellaneous correspondence. Edits all typed materials, checking for grammar, punctuation, formatting and accuracy.  Schedules incoming inspection requests for the Fire Prevention field inspectors, serving as a liaison with state agencies to receive inspection requests and schedule with appropriate Fire Prevention Inspector. Utilizes the Mobile Eyes inspection software system to schedule inspections.

 

20%     Assists the Division Manager and the Fire Prevention Southern Regional Manager with ensuring Fire Prevention Inspection staff complete all required reports, including inspection reports, timekeeping and activity reports in a timely manner and in good order. Participate in all available training for the Mobile Eyes Inspection software, staying current with policy changes and system upgrades; provide general system support to inspectors.

 

15%     Conducts special projects and studies by gathering data, coordinating, monitoring and completing assigned projects; analyzes and interprets data and prepares reports; confers with office staff, state agencies and the general public providing information concerning rules, regulations, methods, procedures; proper submission of documents and provisions of statutes relating to the manager's program responsibilities.

Job Responsibilities (Continued)

15%     Processes new and amended applications for aboveground storage tanks for completeness, according to the 41 IL Administrative Code 160, 170, and 200 rules and regulations. Maintains and tracks above ground storage tank data.

 

5%     Serves as the receptionist for the Division, routing calls and emails to appropriate office and field staff. Receives and distributes mall to the appropriate division staff.

 

5%      Performs other duties as required or assigned which are reasonably within the scope of the duties enurnerated above.​​​​​​​

Education Degree

 

  • Requires knowledge, skill and mental development equivalent to completion of high school and two years of office experience.
  • Requires ability to keyboard accurately 30 W.P.M.
