POSITION SUMMARY

The Central Management Services Agency Support Division is looking for a candidate who is highly motivated and professional to serve as Office Associate in the mail room. This position will perform as timekeeper, bookkeeper, stamps perforator, and front desk receptionist. This position will be required to drive to the Post Office to fill postage stamp order requests, create various reports, and make minor equipment adjustments. We invite all qualified applicants interested in assisting the Agency Support Division to apply for the position of Office Associate.

 

POSITION ESSENTIAL FUNCTIONS

  • Provides a variety of complex, specialized clerical information and assistance, keyboarding, record processing, secretarial, and general office support functions.
  • Serves as timekeeper for the Division.
  • Serves as receptionist for the Division.
  • Serves as liaison with Internal Personnel regarding issues related to timekeeping, FMLA or other employee leaves, employee injury reports, Workers’ Compensation claims, payroll, etc.
  • Maintains a recordkeeping system for all office files.
  • Monitors and procures office supplies, equipment, and/or established contracts for the Springfield and Chicago Mail and Messenger offices.
  • Performs other duties as needed or assigned that are within the scope of the responsibilities of the position.

MINIMUM QUALIFICATIONS

  • Requires knowledge, skill, and mental development equivalent to completion of high school.
  • Requires two (2) years of office experience.
  • Requires skill in keyboarding accurately at 45 words per minute.

KNOWLEDGE, SKILLS, & ABILITIES

  • Requires extensive knowledge of office practices, procedures, and programs. 
  • Requires the ability to operate commonly used manual and automated office equipment and perform routine maintenance. 
  • Requires ability to follow oral or written instructions. 
  • Requires the ability to operate commonly used office equipment such as personal computer.
  • Prefers a working knowledge of Microsoft Word and Excel Spreadsheets.
  • Prefers a working knowledge of BidBuy and SAP.
  • Prefers a working knowledge of BidBuy, SAP or similar contract and procurement software.

CONDITIONS OF EMPLOYMENT

  • This position requires the applicant to pass a background check.
  • Overtime is a condition of employment and you may be required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime.
  • Requires possession of a valid driver’s license or the ability to obtain a valid driver’s license.
