Position Overview

As an Office Coordinator for the FOIA Section within the Office of the Director-Legal Bureau, maintains and updates the FOIA tracking database system. Develops and utilizes complex shell documents formatted for the specialized needs for FOIA correspondence utilizing Microsoft Word. Sends notice of media request to the Public Information Office. Assists the FOIA Administrator by copying and mailing FOIA responses as approved by the FOIA Administrator. Updates databases, opening and distributing mail, answering phones, typing, filing, photocopying and editing correspondence and reports. Reviews correspondence for formatting, accuracy, and proper grammar, proofreads, edits or finalizes materials prepared by other staff.

Essential Functions

  • Under the general direction of the Department’s Freedom of Information (FOIA) Administrator.
  • Gathers information for reporting preparation which may include use of multiple information sources to obtain missing or corrected information and prepares required documents and reports.
  • Provides general support services to the ISP Legal Office.
  • Performs other duties as required or assigned.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to two (2) years of secretarial/business college; OR completion of high school and two (2) years of related office experience; OR two (2) years of independent business experience.
  • Keyboarding accurately at 30 words per minute.

Preferred Qualifications

  • Prefers two (2) years of experience applying the principals of FOIA.
  • Prefers one (1) year of experience applying the principals of FOIA in a law enforcement environment.
  • Prefers extensive knowledge of office practices, procedures and programs.
  • Prefers extensive knowledge of composition, grammar, spelling and punctuation.
  • Prefers ability to follow oral or written instructions.
  • Prefers the ability to utilize a personal computer with knowledge of Microsoft Word, Access and Excel software, database programs, and Adobe software.
  • Prefers working knowledge of the principles and practices of public administration.
  • Prefers experience working for a Public Safety or Law Enforcement Agency.
