Job Responsibilities

Under direction, performs paraprofessional office support functions of a coordinative nature for the Field Services Section.  Coordinates correspondence received from health care facilities by logging the assignment of plan reviews; checking for submission compliance, composing correspondence to follow-up on projects and communicating directly with facility.

 

  1. Provides complex specialized office support functions by preparing and distributing review assignments routing sheets for architectural, mechanical and electrical review of each project.  Reviews incoming projects for compliance with submission of all required elements including calculation of project submission fees.  Responsible for processing, logging, tagging and all data entry into the database for health care facilities construction projects.  Composes correspondence to require information related to the projects submitted. Maintains and updates status reports for architectural and engineering firms.
  2. Responds to request for information through written and direct oral communications regarding the status of plans, reviews and other information included in the plan review process.  Initiates documents to supervisory staff for notification plan review deadlines.
  3. Gathers information and researches on health care facilities in response to requests made through the Freedom of Information Act (FOIA), requiring technical knowledge of laws and requirements involving disclosure of documents; applies general knowledge of agency rules and regulations and procedures involved with the FOIA in preparing responses to requests; explains laws, regulations and procedures and makes decisions concerning unusual or unique situations or problems based on general guidelines or previous decisions where interpretations and judgment is inherent in work performed; locates correct survey and appropriate information; reviews information to ensure accuracy; submits information to the Public Information Office for transmittal.
  4. Proofs information for accuracy and content that is submitted for publication on the Illinois Department of Public health internet web page.  Verifies contents are of an appropriate nature and entered and published on the web page.  Forwards all inaccurate or inappropriate information to the Review Section supervisor for follow-up.
  5. Provides correspondence to the health care facilities with written and oral directions concerning the interpretation of information required for submission of plans and specifications based on documents from the Health Facilities Services and Review Board.

Minimum Requirements

 

  • Requires knowledge, skill and mental development equivalent to two years of secretarial/business college or completion of high school and two years of related office experience or two years of independent business experience. 
  • Requires extensive knowledge of office practices, procedures and programs.
  • Requires extensive knowledge of composition, grammar, spelling and punctuation, logic of computer programs, language and applications.
  • Requires ability to follow oral or written instructions, operate commonly used manual and automated office equipment and perform routine maintenance.  
  • Requires the ability to type accurately at the rate of 30 W.P.M.
