Position Overview
As an Office Coordinator Opt. 2 for the Fleet Services Bureau within the Division of Statewide 9-1-1, under direction, creates records and shell documents, performs data entry functions, establishes data links, designs and produces reports, sorts and edits records, and merges databases. Prepares, reviews registration applications, and renewals to ensure accuracy and completeness. Assigns equipment and inventory numbers and establishes new vehicle records in the Fleet Management Information System. Completes property inventory paperwork as required and updates the Fleet Management Information System concerning the location of each vehicle. Develops glossaries, uploads, downloads, merges documents, copies, and performs backup functions to secure the Fleet Processing Section documents.

Essential Functions
- Utilizes Fleet Anywhere database software and Excel software to maintain the Fleet Management Information System.
- Coordinates license plate assignments and vehicle registration for all ISP vehicles.
- Plans, organizes, and executes the receipt, processing, distribution, inspection, and recordkeeping functions of new vehicles purchased for Department officers.
- Contacts division and district fleet officers to schedule the pickup or delivery of new vehicles and the return of used vehicles.
- Keyboards a variety of correspondence, reports, and forms related to Fleet Processing activities for professional staff via a personal computer.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerates above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to two (2) years of secretarial/business college, or completion of high school and two (2) years of related office experience, or two (2) years of independent business experience.
- Requires the ability to keyboard accurately at a minimum of 30 WPM.
Preferred Qualifications
- Prefers at least two (2) years of experience using a personal computer and copying machine.
- Prefers at least one (1) year of experience with Microsoft Excel or other comparable database software.
- Prefers at least one (1) year of experience with maintaining a filing system.
- Prefers at least six (6) months of vehicle related experience.
Conditions of Employment
- Ability to pass an Illinois State Police background check and drug screening.
- Requires a valid Illinois driver’s license.
