The Illinois Department of Children and Family Services is seeking an organized, professional, and energetic individual to serve as Placement Clearance Coordinator. Under direction, this position will independently conduct involved searches from multiple information sources to correct data integrity issues and process requests. The position will serve as lead worker to Office Associates conducting background checks and will work closely with administration and Call Center Supervisors to resolve data issues. This position provides a great opportunity for someone who is detail oriented and interested in playing a supporting role in the Department’s operations. Job Responsibilities
1. Serves as Placement Clearance Coordinator
- Independently conducts involved searches for multiple information sources to correct data integrity issues and to process requests from various specialized staff, including but not limited to re-linking/merging child abuse and neglect investigations, person merges, intake entry, Law Enforcement Agencies Data System and Child Abuse and Neglect Tracking System (LEADS/CANTS) background checks, placement clearances, Significant Event entries, deaths, etc.
- Exercises independent judgment in reviewing and verifying sensitive, confidential data, utilizing Department Rules and Procedures as guidelines
- Interprets information and makes independent decisions based upon information contained within various reports/databases
- Reviews data to ensure accuracy of information prior to computer entry
- Keyboards appropriate information, including Significant Event data and Intakes
- Tracks weekly statistics
- Works mandatory overtime as assigned
2. Serves as designated lead worker
- Assigns and reviews work
- Provides guidance and training to PCD staff
- Advises supervisor regarding performance of staff
3. Works closely with SCR Administration and the Call Floor Supervisors to resolve data issues
- Provides assistance and information to SCR Child Abuse Hotline staff, Regional Administrators, Child Protection Supervisors and Investigators, and the Deputy Director Child Protection regarding CANTS, LEADS and Placement Clerance Database reports.
- Provides assistance in detecting error conditions on forms and identifies required information to correct and complete investigation information in CANTS
- Provides technical assistance and guidance to clerical staff regarding Statewide Automated Child Welfare Information System (SACWIS), LEADS, Significant Event, Integrate Eligibility System (IES), and Placement Clearance Database.
4. Responds to inquiries from local Child Protection staff and purchase of service staff requesting background check information regarding case/report risk assessments and other issues related to Child Abuse/Neglect history, LEADS information, placement clearance information, and Significant Event reports
- Utilizes independent judgement and knowledge of the Child Abuse and Neglect Tracking System, SACWIS, LEADS, Placement Clearance Database, Significant Event, IES, and CYCIS databases
- Monitors the SCR mailbox
5. Retrieves, reviews, and verifies pertinent information from the Law Enforcement Agency Data System (LEADS) to assist field staff in child abuse and neglect investigations and open service cases
- Monitors to ensure all LEADS regulations and policies are followed
- Communicates and interprets applicable rules, policies and procedures
- Provides input into the development of training for clerical staff and other appropriate staff regarding LEADS and other unit operations
- Conducts training
6. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above
Knowledge, Skills, and Abilities
1. Requires knowledge, skill and mental development equivalent to two years of secretarial/business college OR completion of high school and two years of related office experience OR two years of independent business experience
2. Requires ability to keyboard accurately at 30 wpm
