Position Overview
The Illinois Department of Transportation is seeking to hire an Office Specialist. The successful candidate will provide complex and specialized support functions involved with the processing of incoming requisitions and orders for Certificates of Safety (C/S) state-licensed official testing stations (OTS).
Essential Functions
- Provides complex and specialized support functions involved with the data entry and monitoring of Vehicle Inspection Reports for school buses, buses registered as charitable vehicles, and religious organization buses.
- Receives and processes examination applications for Certified Safety Testers and Certified Diesel Emission Testers Reviews applications for completeness and accuracy.
- Receives and processes permit applications and annual renewal requests for Official Testing Stations, Official Portable Emission Testing Companies, and Official Mobile Safety Testing Companies Receives and processes permit application fees in the form of electronic payment. Performs data entry of payments received in the Department’s finance system for electronic payments.
- Assists in processing orders of Certificates of Safety.
- Assists with maintaining the Unit’s tracking system of Nonscheduled Inspection Reports.
- Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to two years of secretarial/business college and one year of office experience, or completion of high school and three years of office experience, or three years of independent business experience.
Preferred Qualifications
- Prefers working knowledge of bookkeeping principles and practices.
- Prefers extensive knowledge of office practices, procedures, and arithmetic computations.
- Prefers the ability to keep complex records.
- Prefers the ability to maintain satisfactory working relationships with the public and other employees.
- Prefers the ability to operate Microsoft Office, OneDrive, SharePoint, Excel, and Word and basic computer use.
