Position Overview
The Illinois Department of Transportation is seeking to hire an Office Specialist. Under the general direction of the Program Support Unit Manager, this position provides complex paraprofessional support functions which includes gathering, sorting, and interpreting commercial vehicle crash report data. The Office Specialist enters the data into the department’s CMV tool in preparation for importing into the federal SAFETYNET system; arranges, composes, and keyboards a wide variety of reports, forms, and correspondence requiring judgment on format, preliminary assembly, and editorial analysis prior to set-up; performs complex specialized record processing; and provides general office support functions.
Essential Functions
- Performs a variety of advanced word processing functions which includes the preparation of final settlement agreements and other complex correspondence directed to persons in violation of the motor carrier safety, hazardous materials transportation, and vehicle inspection regulations.
- Gathers, sorts, and interprets commercial vehicle crash report data.
- Works closely with the Program Support Unit Manager to complete report modifications and data corrections to maintain accurate data quality elements.
- Organizes and matches individual case-related documents with appropriate pending files to facilitate investigations in progress.
- Performs other duties as required or assigned which are reasonably within the scope of the duties numerated above.
Minimum Qualifications
- Knowledge, skill, and mental development equivalent to two years of secretarial/business college and one year of office experience, or completion of high school and three years of office experience, or three years of independent business experience.
- Ability to keyboard accurately at 30 wpm.
- Qualifying State employees in the Upward Mobility Program shall have the stated requirements of this classification waived by successful completion of specific proficiency tests and training programs.
Preferred Qualifications
- Prefer working knowledge of agency programs, rules, and regulations.
- Prefer skill in taking and transcribing dictation accurately.
- Prefer extensive knowledge of the logic of computer language/programs.

- This position is considered sedentary work as defined by the U.S. Department of Labor (20 CFR 404.1567(a)). Sedentary work involves lifting no more than 10 pounds at a time and requires occasional lifting, carrying, walking, and standing.
