POSITION SUMMARY

The Department of Central Management Services’ Bureau of Strategic Sourcing (BOSS) is seeking to hire an Administrative Assistant II to serve as a confidential assistant to the Deputy Director, Assistant Deputy Director, and Agency Purchasing Officer.  This position provides direct administration support and manages day-to-day operations of the bureau including human resource functions, timekeeping, and providing support to the bureau's continued outreach efforts. The ideal candidate will be a detail-oriented, well-organized individual who can work independently as well as in collaboration with other personnel. We invite all qualified candidates to apply!

POSITION ESSENTIAL FUNCTIONS

  • Under administrative direction of the Deputy Director, Bureau of Strategic Sourcing (BOSS), serves as confidential Assistant to the Deputy Director, Assistant Deputy Director, and Agency Purchasing Officer.
  • In consultation with BOSS Senior staff, coordinates human resource functions for the Bureau.
  • In consultation with Bureau senior management, accesses highly confidential labor relations documents.
  • Serves as the primary timekeeper for BoSS.
  • Performs highly complex and specialized studies and performs special projects for the Deputy Director, Assistant Deputy Director, and Agency Purchasing Officer, associated with procurement negotiation, report preparation, legislative review, and vendor outreach.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above

MINIMUM QUALIFICATIONS

  • Requires knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration and/or human resources. 
  • Requires two (2) years of professional experience in a public or private organization. 

PREFERRED QUALIFICATIONS

  • Prefers two (2) years of professional experience coordinating human resource functions.
  • Prefers two (2) years of professional experience coordinating labor relations and employment matters.
  • Prefers two (2) years of professional experience in event planning and management.
  • Prefers proficiency in utilizing software programs relevant to the position, including but not limited to Adobe Acrobat Professional, Microsoft Word, Excel, Visio, and Access.
  • Prefers working knowledge of policies and procedures of a large public or private organization.
  • Prefers working knowledge of the kinds of personnel positions and the organizational structures involved with a large public or private organization.

 

CONDITIONS OF EMPLOYMENT

  • Requires completion of a background check and self-disclosure of criminal history.
  • Overtime is a condition of employment, and you may be requested or required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime. This may require the ability to work evenings and weekends.
  • Requires ability to travel in the performance of duties, with overnight stays as appropriate.
  • Requires the ability to use agency technology/equipment (i.e., mobile phone, laptop, etc.) properly in accordance with information security awareness policies and confidentiality guidelines.
  • Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other industry related topics relevant to the job duties.
