Position Overview
This position is accountable for the administration of the department’s Policy Administration Program, in addition to providing document control and management guidance for the entire department.
Essential Functions
- Coordinates the activities of the department’s Policy Administration Program, including administration of the PowerDMS Policies and Publications Center.
- Ensures compliance with ISO 9001 document control standards on publications created throughout the department.
- Facilitates agency compliance with the requirements of the Illinois Information Technology Accessibility Act (30 ILCS 587).
- Serves as the policy liaison to the department for the Bureau of Business Services.
- Serves as the IT liaison to the Bureau of Information Processing.
- Trains, develops, coaches, and evaluates staff.
- Researches and recommends new legislation, standards, and best practices which will benefit the Policy Administration Program.
- Performs complex policy and legal research and development and works with subject matter experts to develop policy.
- Works closely with executive staff to review, negotiate, and approve departmental policies.
- Perform other duties as assigned.
Minimum Qualifications
• Completion of a bachelor’s degree majoring in legal studies, political science, business administration, public administration, or a related field plus three years of experience in policy administration, document control management with an emphasis in policy development and research, or a combination thereof, OR Eleven years of experience in policy administration, document control management with an emphasis in policy development and research, or a combination thereof.
Preferred Qualifications
• Supervisory experience.
• Experience with administering a policy administration software, such as PowerDMS.
• Ability to plan, organize, and direct efforts of employees for efficient accomplishment of program objectives.
• Strong troubleshooting and research skills.
• Strong negotiation skills.
• Strong attention to detail and organizational skills.
