About the Position: 

Join a dynamic and vital team as an Administrative Assistant for the Radioactive Materials Division. In this critical role, you will be at the forefront of managing licensing processes and facilitating effective communication between the Division, agency staff, and the public. Your expertise will ensure the efficient processing of radioactive material licenses, with responsibilities ranging from data entry to correspondence management, and maintaining the Division's electronic database.As the central point of contact for the Division, you will play an essential role in overseeing applications, routing correspondence, and ensuring the accurate entry and filing of documents. Your contributions will directly support the smooth operation of the Division, as you assist with purchase requests, data entry into SAP systems, and support the Radiological Task Force during emergencies. If you are detail-oriented, have strong organizational skills, and thrive in a collaborative environment, this position offers the opportunity to make a significant impact in a crucial, regulatory field. 

 

Essential Functions

  • Serves as the Administrative Assistant for the Radioactive Materials Division.
  • Serves as the liaison between the Radioactive Materials Division and the rest of the agency as well as the general public.
  • Maintains the Radioactive Materials electronic file database.
  • Processes requests for purchases, tracks deliverables and makes deductions from appropriate cost centers, and serves as the Division's primary SAP data entry representative.
  • Processes requests and notification of reciprocal work under other U.S. Nuclear Regulatory Commission or Agreement State licenses and inspection reports from state inspectors for radioactive materials.
  • Performs duties of assigned team position as a member of the Radiological Task Force and remains available for callback during radiological and nuclear emergencies.
  • Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
  • Requires one (1) year of professional experience in a public or private organization, or completion of an agency approved professional management training program.

Preferred Qualifications

  • Prefers one (1) year of experience working with data entry systems, record review and data quality practices.
  • Prefers one (1) year of experience answering public inquiries on technical topics.
  • Prefers one (1) year of experience accurately proofreading technical documents.
  • Prefers extensive knowledge of composition, grammar, spelling and punctuation.

Conditions of Employment

  • Requires the ability to travel in the performance of duties, with overnight stays as appropriate. Requires appropriate, valid driver's license.
  • Requires a criminal history check through the Illinois State Police.
  • Requires the ability to use state supplied equipment (cellphone, laptop, etc.).
  • Overtime is a condition of employment, and you may be requested or required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime. This may require the ability to work evenings and weekends.
