Position Overview

 

The Illinois Department of Transportation is seeking to hire a Stores Clerk. The successful candidate will perform manual labor and routine clerical record keeping tasks in receiving, storing, shipping and care of documents in the warehouse of the Illinois Department of Transportation’s Record Center.

Essential Functions

  • Performs manual labor and routine clerical record keeping tasks.
  • Retrieves and transports documents to and from the state archives, state records center or to disposal location. 
  • Operates ladders with lifts, pallet jacks and electric loading dock for records management and transportation. 
  • Locates proper boxes when records are requested to be returned to client.  Retrieves files and re-files in proper location when returned to the Records Center. 
  • Transports records to and from the Hanley Building, other department and state facilities, the State Records Center, and the State Archives. Unloads boxes weighing up to 50 pounds from pallets when requested for scanning. 
  • Updates inventory systems in SharePoint. Retrieves records on microfilm and prints or converts to digital images. 
  • Performs other duties as required or assigned which are reasonably within the scope of those enumerated above. 

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of four years of high school.

Preferred Qualifications

  • Experience working in a records center, archives, mailroom, or similar environment handling physical records and maintaining storage organization.
  • Familiarity with basic records management principles, such as retention schedules, indexing, and chain of custody for stored materials.
  • Demonstrated ability to accurately update and maintain electronic inventory tracking systems (e.g., SharePoint or other content management platforms).
  • Experience supporting digital imaging or microfilm retrieval activities, including preparation and organization of records for scanning or digitization.
  • Ability to work independently and as part of a team in a fast-paced, detail-oriented environment.
  • Strong time management and organizational skills with the ability to follow established procedures with consistency.
  • Awareness of confidentiality and security practices related to handling sensitive or classified records.

  • Successful completion of a pre-employment physical and pre-employment drug and alcohol screening.
  • Requires successful completion of a background investigation.
  • Requires ability to lift, carry and transport 35-50 pound boxes.
  • Requires ability to bend and stoop.
  • Requires the ability to operate and obtain certification for warehouse machinery, such as a motorized pallet jack.
  • Requires the ability to detect hazards while operating machinery both visually and auditorily (use of medical aid acceptable).
  • Requires elementary knowledge of storeroom methods and procedures as well as shipment methods.
  • Requires a valid driver’s license.
