We invite qualified applicants to apply for the position of Section Supervisor for our Files Unit.  Join the State Retirement Systems (SRS) Administrative Services/Files team and help convert paper documents to digital images using document scanners.  This position is responsible for the operation of the general files section which includes supervision of the files section staff (managing day to day workflow and team schedules, evaluating employee performance and providing feedback to both the employee and management, training new employees, maintaining statistical data to monitor and/or improve performance by initiating new or revised techniques or procedures) and overseeing the maintenance of the nominated beneficiary database for members of the State Employee’s Retirement System.  The ideal candidate must be highly result-oriented to achieve the goals expected while also being detail-oriented to reduce the risk of errors.  As a supervisor, the candidate shall have leadership skills necessary to inspire and motivate staff to work to the best of their abilities.  SRS is conveniently located on the west side of Springfield with free parking on-site.

 

Job Responsibilities

35%    1.  Serves as working supervisor of Files Section staff.  Assigns, reviews, and evaluates work of Files Section staff.

25%    2.  Directs the document imaging process.

10%    3.  Maintains the nominated beneficiary data base program.

10%    4.  Assists with the SERS Records Control Program.

10%    5.  Serves on internal working groups to gather and exchange information to develop and implement new techniques or procedures to increase productivity and accuracy.

5%      6.  Compiles data and provides Administrative Services Division Manager with a monthly report for the Imaging Unit and Receptionist.

5%      7.  Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of two years of study at a secretarial/business college and two years of office experience; OR
  • Completion of high school and four years of Office Assistant experience; OR
  • Four years independent business experience.

Knowledge, Skills, and Abilities

 

  • Requires working knowledge of the agency's program operations and policies.
  • Requires extensive knowledge of office procedures and programs.
  • Requires extensive knowledge of elementary mathematics and grammar.
  • Requires ability to direct and supervise the work of a nonprofessional office staff.
  • Requires ability to operate manual and automated office equipment.
