Position Overview

Serves as the SharePoint Technical Expert. Under general direction of the Unit manager, develops, organizes, modifies, maintains, and administers the Illinois Department of Human Services (IDHS) Division of Family and Community Services (DFCS) SharePoint site(s) (i.e., home and child sites/hubs).  Plans, develops, schedules, and provides routine and ad-hoc training sessions regarding SharePoint for the Division statewide.  Serves as the SharePoint technical expert in IDHS executive management and DFCS Offices to create, implement, and monitor division wide written guidelines, policies, and procedures regarding the development, modification, maintenance, and use of the DFCS SharePoint sites.  Serves as the DFCS’ statewide SharePoint Liaison to internal and external entities.  Serves as a working supervisor.  Travels in the performance of duties, which includes overnight stays.

Essential Functions

  • Serves as the SharePoint Technical Expert.

  • Plans, develops, schedules, and travels to provide routine and ad-hoc training sessions (e.g., basic, intermediate, and advanced) regarding, but not limited to, existing SharePoint 2013, Teams, and/or SharePoint Online for DFCS Offices.

  • Serves as the SharePoint technical expert to DFCS Offices; creates, updates, implements, and monitors division-wide written guidelines, policies, statistical reports, and procedures regarding the development, modification, maintenance, and use of the DFCS SharePoint sites (i.e., home and child sites/hubs) using but not limited to, Business Objects/Intelligence, Microsoft Office Suite, graphs, charts, and/or maps [e.g., two-dimensional or Aeronautical Reconnaissance Coverage Geographic System Information (ArcGIS)].

  • Serves as a working supervisor; assigning and reviewing work; providing guidance and training to assigned staff; counsels staff regarding work performance; reassigns staff to meet day-to-day operating needs; establishes annual goals and objectives.

  • Serves as DFCS’ SharePoint Liaison to Illinois Department of Innovation & Technology (DoIT), other IDHS’ offices and divisions. 

  • Attends SharePoint training sessions provided by DoIT, other state of Illinois departments and/or outside entities to expand skills and knowledge of SharePoint Online, Teams, Nintex, and Power Apps/Automate or other product deemed necessary by Unit Supervisor for performance of duties.

  • Performs other duties as assigned or required that are reasonable within the scope of the duties enumerated above.

 

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferably with coursework in business or public administration.

  • Requires two (2) years of responsible administrative experience in a public or business organization.

Specialized Skills

  • Of the two (2) years of responsible administrative experience, requires two (2) years of experience in design manager, development, installment, implementation, and maintenance of SharePoint 2013/Online sites (i.e., home, hub, and child sites) and Nintex Forms/Power Apps/Automate, including graphics, strategies, methods, and procedures for access and use. 

Preferred Qualifications

  • Two (2) years of experience in design manager, development, installment, implementation, and maintenance of SharePoint 2013/Online sites (i.e., home, hub, and child sites) and Nintex Forms/Power Apps/Automate, including graphics, strategies, methods, and procedures for access and use.

  • Two (2) years of professional experience analyzing administrative problems and adopting an effective course of action for a public or private organization.

  • Two (2) years of professional experience developing and providing training to large and small audiences.

  • Three (3) years of professional experience utilizing the principles and practices of public and business administration.

  • Three (3) years of professional experience thinking independently with strong organizational, interpersonal, problem solving, leadership, and attention to detail skills.

  • One (1) year of professional supervisory experience assigning work, providing guidance to subordinates, recommending counseling and/or discipline following collective bargaining agreements, training staff, approving time off, and preparing and signing performance evaluations.

Conditions of Employment

  • Requires ability to travel in the performance of duties, with overnight stays as appropriate.
  • Requires extensive knowledge of Microsoft Office Suite (i.e., Word, Excel, Access, and PowerPoint).
