Position Overview

This position serves as the Central Receiving Coordinator  II for DoIT performing large scale storekeeping duties including, but not limited to, the receipt, inspection, stocking, distribution and tracking of a large and varied inventory for DoIT and the consolidated agencies served by DoIT. In this role, you will tag and enter asset information into an inventory system as well as conduct on-site and off-site physical inventories. This position serves as a lead worker, drives to off-site locations in the delivery and receipt of inventory and equipment and operates forklift, pallet jack, dollies, flat bed card, and pallet wrappers.

Essential Functions

30% Under direction, serves as the Central Receiving Coordinator for the Department of Innovation & Technology (DoIT):  

 

  • Performs large scale storekeeping duties which includes, but is not limited to, the receipt, inspection, stocking, distribution and tracking of a large and varied inventory for DoIT and the consolidated agencies served by DoIT. 
  • Maintains independent warehouses by developing and utilizing efficient stores and inventory methods and controls in allocation of proper bins or storage placement assignment.
  • Receives and signs for inbound property/equipment shipments into inventory.
  • Reviews and cross-checks equipment listed on the order specification and delivery/packing slips and compares with the actual shipment to ensure all proper quantity and quality of items are received, and inspects for damages, marks as such, and notifies warehouse manager regarding incomplete deliveries to resolve order discrepancies. 
  • Prepares stock records, receiving reports and all other inventory and storekeeping reports.
  • Processes approved assets by applying appropriate DoIT inventory asset tags to equipment in a visible location.
  • Delivers equipment and supplies to proper bin or storage placement assignment in the warehouse.
  • Drives to off-site locations in the delivery and receipt of inventory and equipment.
  • Prepares shipping documents and packages equipment to ship to various off-site locations and Drop ships equipment utilizing specialized carrier shipping software and services.            

 

25% Enters asset information into the inventory system:  

 

  • Utilizes barcode scanner and manual entry to enter tag, serial number and model number and location into inventory system.  
  • Processes inventory items for release to Infrastructure Services for eventual deployment to user sites. 
  • Reconciles equipment returns against paperwork for items returned to the warehouse by Infrastructure technicians.  
  • Enters information regarding assets returned to the warehouse into the inventory systems.           

 

15% Reviews and monitors the work completed the previous day to ensure all items were accurately recorded and stored in the proper bin or storage place assignment or delivered to appropriate user site:  

 

  • Conducts on-site and off- site physical inventories by recording, updating, deleting and surplus inventory items, recoding and reconciling discrepancies. 
  • Maintains warehouse by developing and utilizing efficient stores methods in allocation of proper bins or storage place assignment. 
  • Enforces DoIT property control and security guidelines to maintain safe and secure warehouse.
  • Requires employees/visitors to sign in and escorts visitors to view warehouse stock.
  • Follows inventory procedures when releasing assets and controlling access to locked areas.  

 

Essential Functions (Continued)

15% Maintains the agency’s recycling program guidelines for obsolete equipment and supplies under direction of the Asset Manager and other Agency staff:  

 

  • Assists with moving paper throughout the DoIT complex. 
  • Creates inventory paperwork supporting equipment relocations and moving tagged Electronic Data Processing (EDP) equipment from one location to another, relative to both DoIT employee relocations and to consolidation efforts.  
  • Creates inventory listing for equipment targeted for relocations.  
  • Prepares obsolete equipment for delivery to Surplus Property and to the State recycling vendor.
  • Operates a forklift, pallet jack, dollies, flat bed card, and pallet wrappers in performance of duties.          

 

10% Serves as a designated lead worker:  

 

  • Assigns and reviews work.
  • Provides guidance and training to assigned staff.
  • Advises immediate supervisor regarding performance of staff.         

 

5% Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

1.    Requires knowledge, skill and mental development equivalent to completion of four (4) years of high school.  
2.    Requires two (2) years’ experience in the keeping of stores and stores records.  
 

Preferred Qualifications

1.    Two (2) years of experience reviewing order specifications and delivery/packing documents against actual shipment to ensure all proper quantity and quality of items are received.
2.    Two (2) years of experience identifying and resolving/reconciling order discrepancies.
3.    One (1) year of experience leading and instructing others in storekeeping and stock handling duties.
4.    Extensive knowledge of storekeeping and warehousing methods and procedures in the receipt, storage and returns of a variety of goods.
5.    Extensive knowledge of property control and security guidelines to maintain a safe and secure warehouse.
6.    Working knowledge of transportation agencies and shipment methods.
7.    Ability to utilize an electronic inventory system to record, maintain, track and monitor inventory equipment, goods, and assets.
8.    Ability to analyze data logically and exercise sound judgement in defining and evaluating problems of an operational or procedural nature.
9.    Ability to gain and maintain effective working relationships with associates, vendors, clients and others.
