Position Overview
The Illinois Department of Transportation (IDOT) is seeking to hire a Senior Policy Administration Specialist. The successful candidate will manage the department’s policy lifecycle processes, including document review coordination, PowerDMS administration, routing and version control, policy compliance tracking and internal support for policy publication and procedural documentation standards.
Essential Functions
- Under general direction, serves as the Sr. Policy Administrator. Organizes, plans, executes, controls, and evaluates the department’s policy lifecycle processes. Manages and ensures data integrity of the department’s policy lifecycle processes, including document review coordination, Power DMS administration, routing and version control, policy compliance tracking, data validation and internal support for policy publication and procedural documentation standards.
- Maintains various SharePoint sites that house procedural documentation, publication tools, and user guidance.
- Coordinates manual sales and publication distribution using JetPay, SAP, Access and Excel systems.
- Coordinates policy-related meetings.
- Performs other duties as required or assigned which are reasonably within the scope of those enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of four years of college, preferably with courses in public or business administration, communications, information management, or similar coursework related to policy writing/development.
- Requires two years of responsible administrative experience in a public or business organization which includes the following: conceptualizing, developing, and drafting new and revised rules, procedures, policy guides, policy interpretations, or policy directives; editing and formatting policy documents; and utilizing a document and policy management platform (e.g. Power DMS or similar).
Preferred Qualifications
- Prefers advanced knowledge of International Organization Standards (ISO) 9001 document control principles, including audit trails and versioning.
- Prefers advanced knowledge and proficiency in Microsoft Word, Excel, SharePoint, and Adobe Acrobat.
- Prefers one (1) year of experience coordinating cross-functional review processes, routing policy documents for executive approval, and managing review schedules.
- Prefers one (1) year of experience with manual sales tracking, inventory management, and financial reporting tools such as JetPay, SAP, Access and Excel.

- Requires ability to travel in the performance of duties, with overnight stays as appropriate. Requires appropriate, valid driver’s license.
