Position Description and Job Responsibilities

Under general supervision of the Office Administrator 2, performs a variety of complex mailroom procedures to prevent contraband from entering the facility and to ensure efficient and accurate delivery of all offender and institutional mail. 

35%    Receives, processes and inspects all incoming offender mail checking for contraband, which includes letters and packages, referencing AD 05.01.109 Searches of Persons, Vehicles and Property, identifying suspicious mail and packages; checks all mail for Contraband items, Three way communication, Security Threat Group (STG) material, Foreign/Unknown substances, Orders of Protection, Offender to Offender Correspondence, etc.;  scans all mail for security issues and relays any important information to Internal Affairs; houses offender mail using the Offender 360 system to locate offenders; completes necessary notification forms for all unauthorized items; processes incoming publications, which includes books and magazines and routes questionable publications to the Publication Review Committee; Mail watch all outgoing offender mail, checking for Three way communication, Orders of Protection, Offender to Offender Correspondence, etc.; processes outgoing offender mail for delivery to the postal office; forwards First Class mail for offenders who have transferred, paroled or discharged; maintains daily filing.

20%    Receives, processes and distributes all incoming and outgoing Privileged and Legal Mail in compliance with IL Administrative Code - DR 525, Subpart B, Mail and Telephone Calls and Institutional Directive 05.525.001, Mail Procedures.

20%    Processes money vouchers (requests for payment) for all offender mail needing extra postage or requesting special services, such as Certified, Return Receipt, or Check Requests.

10%    Receives and distributes all incoming institutional mail to respective departments; processes outgoing institutional mail for delivery to the postal office, utilizing commercial postage machine.

10%    Scans and clears incoming and outgoing offender email messages using the Global Tel* Link's (GTL) system; enters incoming offender monies into the Fund Accounting & Commissary Trading System (FACTS) for credit to their Trust Fund account. Requires ability to keyboard accurately at 35 words per minute.

05%    Performs other duties as assigned which are reasonably within the scope of the duties enumerated above.
 

Minimum Requirements

  • Requires knowledge, skill and mental development equivalent to completion of high school and one year of related office experience.
  • Requires working knowledge of alpha-numeric sequencing.
  • Requires working knowledge of office practices, procedures and programs.
  • Requires working knowledge of grammar, spelling and punctuation.
  • Requires working knowledge of basic mathematics.
  • Requires ability to follow oral and/or written instructions.
  • Requires ability to keyboard accurately at 35 words per minute.
