Position Overview
Serving as a liaison for the Firearms Services Bureau under the Division of Justice Services; answers Firearm Services Call Center line from FOID and CCL applicants, card holders, general public and law enforcement entities, providing complex assessments of citizen’s needs and inquiries while responding with department, bureau, state and federal standards and procedures; with an extensive understanding of the application program, provides guidance in computer system operation and program application process to FOID and CCL applicants including the verification of identity, resetting of passwords, resubmitting applications in rejected status, and troubleshooting computer system errors to resolution; conducts interviews with applicants wishing to complete, correct, or replace a FOID and/or CCL application; receives and/or places calls to clients and other outside sources to obtain missing or to correct information; provides assistance to clients and the general public; applies general knowledge of agency operations, rules and regulations in explaining or clarifying rules, processes, procedures and services available concerning the FOID Act and the Firearm Concealed Carry Act; uses discretion, make corrections, modifications or reject applications for errors or missing components of an application; provides data entry and detailed notes including clients’ social security number, date of birth, and detailed personal history as well as sensitive law enforcement information; utilizes other automated office equipment and technologies to perform work assignment; ensures strict confidentiality in compliance with Payment Card Industry (PCI) standards taking payment information in accordance with state and federal laws.

Essential Functions
- Serving as a liaison between the Firearms Services Bureau (FSB) and the public to perform a wide variety of tasks, as a call center representative through person-to-person communication at a publicly accessible location or while using a telephonic headset and computer system.
- Exercises judgement in conducting involved searches which require accessing and selecting multiple information sources.
- Performs a variety of office support functions.
- Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.
Minimum Qualifications
- Requires the knowledge, skill and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience.
Preferred Qualifications
- Prefers one (1) year experience following oral and written instruction.
- Prefers one (1) year experience with extensive knowledge of grammar, spelling, and punctuation.
- Prefers one (1) year experience with elementary knowledge of agency programs, rules and regulations.
- Prefers one (1) year experience accurate keyboarding.
- Prefers one (1) year experience operating commonly used manual and automated office equipment and perform routine maintenance.
- Prefers two (2) years of knowledge of basic mathematics.
- Prefers ability to type 30 wpm.
Conditions of Employment
