Position Description and Job Responsibilities

Under direction of the Business Administrator (PSA) at Shawnee Correctional Center, performs technical accounting work, maintains a complex and complete set of general account books for the manufacturing operations for Illinois Correctional Industries; prepares a variety of financial documents and posts financial information to journals, registers, ledgers and other financial records maintained on Excel spreadsheets; makes adjustments and reconcilations; performs general clerical work related to budget preparation and offender payroll; monitors the work of offender clerks and assists in cost accounting functions; serves as designated lead worker.  

30%  Maintains a complex, complete set of general account books for the manufacturing operations at Illinois Correctional Industries; prepares a variety of financial documents and posts financial information to journals, registers, ledgers, and other financial records maintained on the excel spreadsheets and access databases; makes adjustments to outstanding obligations and reconciles SAP budget reports on a monthly basis.  Maintains Excel spreadsheets of all records involving payment of expenditures including all raw materials and repair parts, equipment purchases; executes and prepares increases, decreases. cancellations of all obligating documents as records indicate the need; contacts suppliers concerning back orders, incorrect shipments or invoicing in order to keep payable up-to-date; maintains stock of all raw materials.  

20%  Verifies and audits weekly production; maintains spreadsheets of inventories; audits quarterly inventories; documents annual budget information for all shops; updates costs for all products as raw material costs change; analyzes all of the above and makes recommendation s to the Industry Superintendent (Public Service Administrator); researches raw materials for price, delivery, substitution and specifications.

15%  Prepares, reviews, audits and inputs contractual expenditures into the automated accounting system (SAP); analyzes data prior to input for accuracy, ensure sufficient obligation balances exist and make corrections as needed; reconciles monthly obligations with various reports extracted from automated accounting system.

10%  Maintains spreadsheets and records of all products shipped on a daily basis and all receipts of raw materials, repair parts, etc; audits and records all inventory transfers prepared by offender clerks; reviews documents to verify that all shop records and reports are accurate. 

10%  Prepares and records end of year inventory; complies information from records or other sources; performs clerical duties such as keyboarding correspondence, filing, acting as a receptionist and answering telephones; opens and distributes incoming mail and other duties; prepares monthly offender payroll, prepares employee daily attendance on a semi-monthly basis.

10%  Serves as designated lead worker; assigns and reviews work; provides guidance and training to assigned staff; advises immediate supervisor regarding performance of staff.

05%  Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.



 

Minimum Requirements

 

  • Requires Knowledge, skill and metnal development equivalent to completion of two years of college and one year of technical accounting experience or four years of related clerical bookkeeping experience.
  • Requires extensive knowledge of accounting techniques.
  • Requires extensive knowledge of office methods and procedures.
  • Requires working knowledge of state or non-state accounting procedures.
  • Requires working knowledge of principles and functions of standard office accounting machines and equipment.
  • Prefers working knowledge of Microsoft Office Suite programs including Excel and Access.

Requires the ability to pass the IDOC/IDJJ background check.
