Position Overview

Under direction, performs a variety of complex, specialized clerical duties for supervisory staff; keyboards documents, processes records and performs general office support functions involving related steps, processes and/or methods requiring application of agency policies and procedures; determines work methods and procedures to complete assignments; serves as receptionist for Psychological Services, maintains confidential employee health records and provides back-up clerical assistance for doctors and nurses in Psychological Services; provides information/assistance to explain/clarify rules, processes or procedures to vendors and others.

Job Responsibilities

25%     1.  Performs a variety of complex, specialized clerical duties for supervisory staff.

 

20%     2.  Prepares and maintains complex, highly specialized records, reports, and files.

 

20%     3.  Serves as receptionist for Psychological Services. Receives telephone calls, determines the nature of the calls, directs callers to staff.

 

15%     4.  Maintains confidential employee health records and provides back-up clerical assistance for doctors and nurses in Psychological Services.  Maintains and organizes files records, reports and supplies.

 

10%     5.  Provides clerical office support and schedules meetings for the manager.

 

  5%     6.  Receives and distributes mail, manual releases, and memos, processes outgoing mail.

 

  5%     7.  Performs other duties as required or assigned which hare reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  1. Requires knowledge, skill, and mental development equivalent to completion of high school and two years of office experience.
  2. Requires the ability to keyboard accurately from copy at a minimum net rate of 45 words per minute.

Knowledge, Skills, and Abilities

  • Requires extensive knowledge of composition, grammar, spelling, and punctuation.
  • Requires extensive knowledge of medical/technical, psychological and/or legal terminology.
  • Requires ability to operate commonly used manual and automated office equipment and perform routine maintenance.

Work Hours:  8:00am - 4:30pm Monday - Friday / Weekends and Holidays off.
